Privacy policy
Registered name: SEMVO LTD
We are the controller of your personal data. This privacy policy tells you what to expect us to do with your personal information when you visit this website, send us an enquiry, or use Semvo as a member of an agency's staff.
It doesn't cover the information a letting agency keeps in Semvo about its landlords, tenants and others. The agency is responsible for that information, and our agreement with the agency sets out how we look after it for them.

What information we collect, use, and why
When you send us an enquiry
Through the form or by email: your name, your agency, your email address and your message, and anything else you choose to put in an email. We use it to reply to you. You don't have to send us anything; to reply through the form we need the four things it asks for.
With a form, the page also sends where you came to this site from (the page that linked to it, and any campaign tags in the link) and which parts of the home page you looked at. We use this to learn which ways of finding us work. The page holds it in memory only while that page is open, sends it only if you send the form, and doesn't send it at all if you've turned statistics off.
When you visit this website
We count visits with Cloudflare Web Analytics: which pages are visited, which site linked to them, the type of browser and device, the country, and how quickly pages load. We use it only for statistics about how the site is used, so we can improve it. It uses no cookies, stores nothing on your device, doesn't follow you across other websites, and isn't used for advertising. Cloudflare receives your device's IP address with each visit, as every request to a website carries it, and uses it to tell the country; we never see it, and we see totals, not individual visitors.
To deliver the site, our hosting provider handles your device's IP address. Our contact form also holds it in memory, for an hour at most, to stop one address sending too many messages; we don't store it or send it to ourselves.
When you use Semvo as a member of an agency's staff
Your name, your work email address, the permissions your agency gives you, the details you sign in with, and a record of the changes you make in Semvo. We use it to give you access, to keep accounts secure, and so your agency can see who changed what.
Lawful bases and data protection rights
Under UK data protection law, we must have a "lawful basis" for collecting and using your personal information. You can find out more about lawful bases on the ICO's website.
Our lawful basis is legitimate interests for each use above. Our legitimate interests are:
- replying to people who contact us, and finding agencies to work with;
- understanding how this website is used, so we can improve it;
- giving the agency you work for a secure service, with a record of who did what;
- running this website securely, and keeping the contact form free of spam.
Which lawful basis we rely on may affect your data protection rights, which are set out in brief below. Where we rely on legitimate interests, all of these rights may apply except the right to data portability. You can find out more about your rights, and the exemptions that may apply, on the ICO's website.
- Your right of access: you can ask us for copies of your personal information, and for other details, such as where we got it and who we share it with.
- Your right to rectification: you can ask us to correct information you think is inaccurate or incomplete.
- Your right to erasure: you can ask us to delete your personal information.
- Your right to restriction of processing: you can ask us to limit how we use your personal information.
- Your right to object to processing: you can object to our use of your personal information. For website statistics, see Cookies and website statistics below for how to switch them off.
- Your right to data portability: this applies only to information we use by consent or under a contract with you, so not to the uses above.
If you make a request, we must respond without undue delay, and in any event within one month. To make a request, email us at hello@semvo.co.uk. We may need to check who you are first.
We don't make decisions about you by automated means.
Where we get personal information from
- Directly from you, when you send an enquiry or email us.
- From the agency you work for, when it gives you an account in Semvo.
- From your browser, when you visit this website.
How long we keep information
- Enquiries and our emails with you: 24 months after our last contact. If your agency becomes a customer, we keep our correspondence for as long as it is one, and for six years after, the time in which a claim could be made.
- Where you came from and what you looked at: with your enquiry, for the same time.
- Website statistics: Cloudflare keeps the detailed record of each visit for 7 days, then only a sample from which the totals are drawn (Cloudflare's Web Analytics questions and answers). We see only totals, and keep no copy.
- Your IP address, in the contact form's memory: an hour at most.
- Agency staff accounts: while your agency uses Semvo, and afterwards as our agreement with your agency says.
Who we share information with
Data processors
These organisations handle personal information for us, under our instructions and their data protection terms:
- Microsoft (Azure): hosts this website and its contact form.
- Microsoft (Microsoft 365): delivers your enquiry to us, and holds our email.
- Cloudflare: provides the website statistics.
Others we share personal information with
We don't sell personal information, or share it for advertising. We would share it only with our professional advisers (such as a lawyer or accountant) when we need their advice, or with organisations the law requires us to, such as a regulator or the police.
Sharing information outside the UK
Where necessary, we transfer personal information outside the UK. When we do, we comply with the UK GDPR and make sure appropriate safeguards are in place.
- Cloudflare, Inc. (website statistics), United States. Covered by the UK–US data bridge, under which Cloudflare is certified, and by the UK's International Data Transfer Addendum in Cloudflare's data processing terms if that certification ever lapses.
- Microsoft (hosting), United States, where the contact form runs, with pages delivered from Microsoft's data centres around the world. Our email is kept in the United Kingdom. Covered by the UK–US data bridge, under which Microsoft is certified, and by Microsoft's data protection terms; and, for pages delivered from the EU and EEA, by the UK's adequacy regulations.
To get a copy of these safeguards, email us at hello@semvo.co.uk.
How to complain
If you have any concerns about our use of your personal information, you can make a complaint to us at hello@semvo.co.uk.
If you remain unhappy with how we've used your data after raising a complaint with us, you can also complain to the ICO.

Cookies and website statistics
This website sets no cookies, and stores nothing on your device.
The website statistics above are collected under the exception for statistics in the Privacy and Electronic Communications Regulations, which allows them without your consent so long as we tell you about them and you can object simply and for free.
To switch statistics off, use "Turn off statistics" at the foot of any page: pages then load without Cloudflare's script for the rest of your visit. We also leave the script out whenever your browser sends a Global Privacy Control or Do Not Track signal. Because we store nothing on your device, we can't remember your choice for your next visit; if your browser offers either signal, turning it on makes your choice last.
While statistics are off, the contact form doesn't send where you came from or what you looked at either.
This privacy policy page never loads the statistics script.
